Hotel reservations are proceeded on first-come-first-served basis.

Final Confirmation Sheet will be sent by email to applicants who completed the payment. Please print it out and show this upon hotel check-in if required.
Change & Cancellation Policy

Your reservation can be changed online by NOON, October 25, 2019 by visiting your Mypage with your registration ID and password. For any change or cancellation after then, a written notification should be sent to KNT by e-mail (apsci2019@or.knt.co.jp).
The date and time of the change and cancellation will be based on the working hours (Mon - Fri 9:30-17:30 [JST] except national holidays (Apr. 27 - May 6, July 15, August 12, September 16 and 23, October 14 and 22, November 4 and 23).
After working hours, cancellation will be made on the next day, which may incur charges.

7 to 2 days prior to the arrival date 30% of daily room charge
1 day prior to the arrival date 40 % of daily room charge

Refund
Refunds will be made before or during the symposium upon with deducting bank transfer fee / credit card service charges and the cancellation penalties.
Due to the system setting, only full-amount refund is available. If any partial refund should be made for change / cancellation, the registration desk will firstly make a full-amount of refund to the registered credit card and charge the amount after deducting change or cancellation penalty.
If payment was made by credit card, refund will be made to the same credit card. If bank transfer, please inform us your bank account.
Privacy Policy
Regarding pre-registration and accommodation arrangements, we, APSCI2019, entrust it to the travel agency KNT and the personal information would be treated based on KNT privacy policy.
Please note that personal information entered into the registration system will not be used for purposes other than the congress. Your information will be stored in a controlled server with restricted access.
